Who we are
PrimeOS ("PrimeOS," "we") provides software that service businesses use to run quotes, scheduling, crews, invoicing, payments and client communication. This policy covers getprimeos.io, the PrimeOS app, and the client-facing pages businesses send through PrimeOS (quotes, invoices, client portals and booking or request forms). Two kinds of information
Business accounts. When a business signs up, we collect the account holder's name, email, phone and business details, plus billing information handled by Stripe.
A business's own records. Businesses use PrimeOS to store information about their clients and team: names, contact details, service addresses, notes, quotes, jobs and visits, invoices and payment records, messages, visit photos and feedback. For this information, the business decides what to collect and how to use it, and PrimeOS processes it on the business's behalf. If you are a client of a business that uses PrimeOS, contact that business first about your information; we'll help them respond.
What we collect and why
- Account and profile data to create accounts, sign people in and secure them. Passwords are stored as salted hashes.
- Business records (described above) to provide the service the business signed up for.
- Location at clock-in and visit start for team members, only at those moments, so a business can confirm work started at the job address. PrimeOS does not track location in the background.
- Messages sent and received through PrimeOS texting and email, so they appear in the business's inbox and history.
- Payment information is entered directly into Stripe. PrimeOS stores only references such as card brand, last four digits and payment status.
- Basic technical data (such as request logs and a sign-in session cookie) to keep the service running and secure. We don't use advertising trackers.
- Website visit statistics. On getprimeos.io we count page views anonymously, with a random id stored in your browser, the referring site, device type and country. We don't store IP addresses, and we honor your browser's Global Privacy Control setting. We may also use Google Analytics on the public website to understand how visitors find us.
Text messages (SMS)
Businesses using PrimeOS may text their clients about quotes, appointments, invoices and service. Consent is recorded when a client provides their number and agrees to receive texts. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time and HELP for help. We do not sell or share mobile numbers or SMS consent with third parties or affiliates for their marketing purposes.
AI features
Prime AI and the AI assistant use Anthropic's Claude models through Anthropic's commercial API to answer questions about a business's own records and to draft replies, offers and reminders. Only the information needed for a request is sent. Nothing the AI prepares is sent to a client until a person at the business approves it.
Who helps us run PrimeOS
We use these service providers, each only for the job listed:
- Vercel: hosting the website and app
- Supabase: database and private file storage (for example, visit photos)
- Stripe: subscription billing and the card payments businesses accept from their clients
- Twilio: sending and receiving text messages
- Resend: sending email
- Anthropic: AI features
- Google Maps: address lookup, maps and drive-time estimates
We don't sell personal information. We may disclose information if the law requires it, or to protect the safety of people or the service.
Keeping and deleting information
We keep information while an account is active. A business can export its records at any time. When a business closes its account, or asks us to, we delete its records within a reasonable period, except where we must keep certain records (for example, billing records) by law. Backups roll off on their normal schedule.
Security
Data is encrypted in transit and at rest, every business's records are kept separate, and access inside each business follows the roles it sets. See our Security page for details.
Your choices and rights
You can ask to access, correct or delete personal information, or opt out of texts by replying STOP. Depending on where you live, you may have additional rights. Send a request through our contact form and we'll respond within the time the law requires.
Children
PrimeOS is built for businesses and isn't directed to children under 16.
Changes
If we change this policy in a meaningful way, we'll update the date above and let account holders know.
